Limbo Challenge 2010 Information Topic

I will use this topic to inform our club about the status of the Limbo Challenge this year.

Here are facts we have so far:

Director: Jimmy Orkin
Head Judge: Don Trotter

Dates:
Entry Dates: July 19 through August 5th.
Login at Homebrew Headquarters: August 6th.
Judging at Fred David’s house: August 14, 15.
Event on August 28, location TBD.

Entries will be accepted at Homebrew Headquarters and the Wine Maker’s Toy Store.

We are listed on the Homebrewers Association website already. We are also listed on the Lone Star Circuit website.

We held the first planning meeting on April 8th. Here are my notes from that meeting:

Attendees:

We might look for a different place for login. Perhaps at Fred's house on Saturday, August 7th.

Topics discussed.
1. Awards Location
Maybe Rugby House. We need someone to step up and find a place.
2. Award types and Source
Metals for 1st, 2nd and 3rd
Pint Glasses for 1st
Large Stein for BOS
We may look for a new source for awards
3. Head Steward
Fred volunteered.
4. Remove entree count limit for category (sub cat limit is still 1)
We agreed to discuss this on email prior to the next meeting.
5. Bottle top category labels
Jimmy to inventory the storage unit to see what we have.
6. Boxes
Steve Hacker has obtained these in the past.
7. Trucking beer to Fred's.
We will need one or two trucks.
8. Refrigerator Space.
Fred will have plenty.
9. Data guy.
James Dorman will be this years data guy. Einar to train with James this year to take the job next year.
10. Paypal for entry fees.
We need to figure out how to use Paypal. Einar and Cameron to work with Damon to see how.
We need a separate meeting to discuss.
11. Need lawn mower blade.
Erich to donate.
12. Raffle?
No raffle.

New business:

We discussed having posters to take to Homebrew shops to promote Limbo and to give to BOS, BOS2 and BOS3 winners.
Jimmy wants to judge the lawnmower beer category in the shade.

Next meeting will be on May 6th at Catfish House at 7:00 in Carrollton. BYOB.

We held the May planning meeting for the Limbo on May 6 at Catfish House in Carrollton.

Here are my notes:

Topics discussed.
1. Awards Location
I was going to investigate Rugby House. We have since learned that Rugby House has pool tables in the back. I am going to check on BJ's in Addison.
2. Award types and Source
Brian Beyer is going to check with J Pauls to see if they can make the awards.
4. Remove entree count limit for category (sub cat limit is still 1)
We agreed to remove the category limit as keep the sub category limit of 1.
5. Bottle top category labels
Jimmy to inventory the storage unit to see what we have.
6. Boxes
Don Trotter said he has all the boxes we need. We still need to collect 6-pack holders for the boxes.
10. Paypal for entry fees.
Jimmy to organize a separate meeting to discuss.
11. Need lawn mower blade.
We have the lawn mower blade.
13. Posters to advertise Limbo.
Leroy got the old Limbo poster updated to this year's date. Leroy is going to get posters made and sent to homebrew shops in Texas and the adjacent states. We are also going to send them to Morebeer, Northern Brewer and Midwest Hombrewing.

The June planning meeting will be on Thursday June 3 at Fox and Hound in Richardson. We will start at 7:00 PM.

We are going to pickup from FW Homebrew and Wine Makers Toy Store. Drop off locations will be picked up early on Friday August 6. Need to get the website updated.
15. Website files to Data Guy
James and Damon to work on changing the format of the file that comes from the website.

Jimmy has the Limbo Judging box. I will inventory this week.

16. We need to make sure that the entry comments make it to the judges. The categories that need special attention are:
6D American Wheat and Rye
20 Fruit
21 Spice/Herb/Vegetable
22A Other Smoke
22B Wood Aged beer

I am not planning a August meeting unless something comes up that we need to deal with.

The Limbo Challenge website is open for entries. We have a new option this year. You can pay your fees with Paypal.

Let's see those entries. I am hoping for our biggest entry count this year.

If you have a large sturdy table that we can stack boxes on, please bring them.

At what time does the judging start on Saturday and how long will it go for?

The Limbo Challenge will start Judging this Saturday, August 14, at
9:00 AM. We may spill into Sunday if needed. We can use judges all day
long so if you have 2 hours available, we need your help.

You do not need to be an experienced judge. We can teach you to judge
no matter what your experience level. This is a great competition to
get started in your judging career.

We also need some items. We can use tables, chairs, buckets and ice
packs. The tables and chairs are to give us judging space. The table
legs need to have good feet to make sure we do not scratch Fred's
floors.

The buckets and ice packs are needed to haul beer to the judges.

We will be judging at Fred David's house in Parker. Fred's address is:

Do we need to notify anyone if we want to help judge tomorrow? Are there specific times when more people are needed or do we just need to show up whenever we can?

There is no one to notify. Just show up. We are starting at 9:00 AM. If you can get there by 3:00 PM we might be able to get you judging one of the last flights of the day.

Judging of all flights has been completed. A few of us will be meeting at noon at Fred's to judge BOS. If you would like to come participate and/or watch you are welcome. If you don't judge it is always interesting to watch a BOS session. Thanks to everyone who came to help and made this possible.

Items to discuss after the competition:

Fix website categories: Other Smoked & Wood Aged Beer, should be 22B and 22C.
Cap the Fruit beer entry count.

More items to discuss in the followup meeting:

We had some bottles that got misplaced. I think one of the problems was that wrong category stickers were applied. If anyone knows the different problems with the misplaced bottles, please update this topic.

I think one problem with the wrong stickers being applied was caused by the fact that we have different category numbers from the BJCP numbers. Therefore I propose that we change the limbo category numbers be replaced with Egyptian hieroglyphics symbols. That way we referring to the cross reference list will be required.

Perhaps hieroglyphics is to complicated, how about letters.

We also need to work out a formal quality control step before the bottle labels are removed.
