Question about beer at Bluebonnet

I am a volunteer for No Label Brewery here in Katy, TX. I have been talking to them about sending some beer up to the Bluebonnet for the hospitality room or the commercial tasting. Who do we need to contact for the commercial tasting? Does that have to be handled by distributors or can they just give me the keg and I can bring it up with me? I will have to return their empty keg to them afterwards as that is one of their main concerns is not getting the keg back and I assured them that I can make sure to bring any of their empties back with me. Would it be better to just have them send up a keg or 2 for the hospitality room? Would it be better to bring a keg of Ridgeback Amber or Pale Horse Pale Ale? They also have a wheat beer (El Hefe) and a milk stout (Elda M) but the stout is their winter seasonal and I am not sure how much they have left and I figured the wheat beer wouldn't be a good choice for the hospitality room.

What comes with the title? whip and a dolley?

A lot of work coordinating commercial beer donations and driving the truck to and from the event.
